Self-editing checklist
Everyone needs an editor. Or at the very least, a second pair of eyes on your writing. Unfortunately, sometimes you just have to DIY it.
So what should you look for to ensure your piece is in as good a shape as you can get it?
Well first, remember — editing is more than just checking grammar and avoiding typos! You have to start at the beginning by asking yourself:
❓Content
▪️Does this piece consider my audience and their needs?
▪️Does it achieve my communications goals?
▪️How will I measure the success of this piece?
❓Format
▪️Does it include a strong call to action?
▪️Is it the right length?
▪️Does it include necessary contact information?
▪️Have I included relevant hyperlinks, attachments or photos?
▪️Have I checked to make sure I’m in compliance with any relevant style guide?
▪️Have I included clear references for any quotes or data?
▪️Have I included a headline or subject line and relevant subheadings?
❓Grammar and spelling
Remember that automated grammar or spell checks are great tools, but they often make mistakes. Use them to flag areas of potential concern, but rely on your own judgment first and foremost.
▪️Have I examined each red squiggle to make sure it isn’t a typo?
▪️Have I run my spell check, just to be safe?
▪️I’ve examined each blue grammar squiggle to make sure I’m correct.
▪️I’ve double-checked proper nouns, especially company and people’s names.
▪️I’ve double-checked any words or phrases I usually struggle with.
❓Additional proofing
▪️Read the piece out loud.
▪️Read the piece from beginning to end.
▪️Read the piece from the end to the beginning to get a different perspective.
❓Other
▪️I’ve gotten approvals from all key stakeholders.
▪️I know how the piece is to be delivered (e.g., sent via email).
▪️I know how the item will be distributed via social, media relations and other channels.
Once you have completed the checklist you’ve really done all you can to make sure your piece is the best you can make it. And if there is a mistake, well we’re all human and honestly, we’ve all been there. Don’t beat yourself up!
